Availability Viewer shows someone as busy all day (Microsoft 365 / Outlook)

If BusyCal’s Availability Viewer shows an attendee as busy all day even though Outlook shows them as available, it usually means BusyCal is receiving (or interpreting) the attendee’s free/busy data differently than the Outlook UI you’re comparing against.

Quick checks

  1. Update BusyCal to the latest version available for your distribution (Direct/App Store/Setapp).
  2. Confirm the “blocking” item is truly an all-day event marked as Free (not a timed event that spans most/all of the day).
  3. If possible, verify the attendee’s calendar in Outlook on the web to confirm the free/busy state.

Notes

  • BusyCal’s Availability Viewer relies on the calendar service’s free/busy data. If Microsoft reports an event as blocking time, BusyCal will treat it as busy.
  • Free/busy behavior can vary depending on account type and server configuration.
